This policy explains how Tengos handles your data for live translation and conferencing.
1. Information We Collect
We collect and process only the data needed to operate Tengos and deliver multilingual conferencing, transcription, and translation:
- Account information: email address, display name, and authentication identifiers
- Google OAuth profile basics when you sign in with Google (no passwords stored by us for OAuth sign-ins)
- Payment and billing info processed via Stripe (we do not store card numbers)
- Audio streams, recordings, transcripts, translations, summaries, and glossary data you provide or generate
- Usage and diagnostic data (e.g., device/browser metadata, timestamps, room/session IDs) to secure and improve the service
- Information related to interactions with AI systems (including inputs and outputs) for service operation and legal compliance purposes
2. How We Use Your Information
We use the collected information to:
- Provide live translation, transcription, conferencing, recordings, summaries, and related features
- Process payments and manage subscriptions (including securely sharing necessary billing details with Stripe)
- Operate rooms, permissions, and collaboration features (e.g., speaker permissions, recording controls)
- Improve quality, reliability, and performance through analytics and diagnostics
- Communicate with you about your account, billing, incidents, and product updates
- Ensure security, prevent fraud/abuse, and comply with legal obligations.
- Ensure that AI systems are used for lawful purposes and do not infringe upon the legitimate rights and interests of users in accordance with applicable laws
- Implement control measures to detect and address violations, misuse, or potentially misleading outputs generated by AI systems (if any)
3. Third-Party Services
We integrate with essential third-party services:
- OpenAI (and similar AI providers) for language processing; data is used only to return results and not retained for training by us
- Stripe for secure payment processing
- Google OAuth for authentication and login
- Cloud/object storage for media assets (recordings, transcripts, summaries)
- Analytics/monitoring tools to maintain and improve service quality
- AI service providers process data solely upon Tengos' instructions and only for the purpose of delivering services, and must not use such data for unlawful purposes or in ways that adversely affect user rights
- We require third-party partners to comply with principles of transparency, safety, and accountability in AI processing in accordance with applicable Vietnamese laws.
Partners receive only the minimum necessary data to perform their function. Each partner is subject to its own privacy terms; we recommend reviewing them.
4. Data Security
We are committed to protecting your data with reasonable security measures:
- Encryption in transit and principle-of-least-privilege access controls
- Regular security updates and monitoring
- We do not sell your data; limited sharing occurs only to deliver core functions
- Data is not used for AI model training by Tengos
5. User Rights
Under applicable data protection laws, you have the right to:
- Access and view your personal information
- Update account details and manage subscription changes or cancellation
- Request deletion where permitted by law and subject to retention requirements
- Object to or restrict certain processing where applicable
- Withdraw consent for optional data uses (e.g., marketing emails)
6. Data Retention
We retain personal information only for as long as necessary to:
- Audio recordings are permanently deleted 14 days after capture to safeguard user privacy
- Provide and support the service (including troubleshooting and security)
- Meet billing, audit, and legal obligations
- Resolve disputes and enforce agreements
- Honor user deletion/retention requests where legally possible
- Retention of AI-related data is limited to what is necessary for service provision and compliance with legal requirements on AI risk management and accountability
7. Data Processing Conditions
Important conditions regarding your data:
- Your audio, transcripts, translations, and summaries are not used for AI model training by Tengos
- Authentication data is processed solely to log you in (including Google OAuth tokens where applicable)
- Payment information is handled exclusively by Stripe; Tengos does not store card numbers
- Email addresses are used for essential communications, account notices, billing, and security
- Content processing via AI providers is for the purpose of returning requested outputs; we aim to minimize retention
- You maintain ownership and control of content you upload or generate, subject to these Terms
- Tengos' AI systems are designed and operated in accordance with a human-centric approach, ensuring appropriate human oversight in critical decisions
- AI-generated content (e.g., translations, transcripts, summaries) may be labeled or identifiable as AI-generated where required by law
- Tengos does not develop or deploy AI systems for manipulation, deception, or infringement of lawful rights and interests of individuals or organizations
- In the event of AI-related incidents, Tengos will take remedial actions, provide notifications, and cooperate with competent authorities in accordance with applicable laws
